Job Description for Personal Secretary For Diamond Healing & Education, Inc.
This position is for Tuesday Through Thursday -
7:45 A.M. to 5:00 P.M.
Mission Statement for Personal Secretary:
The mission for the Personal Secretary is to support the overall Vision and Mission of Diamond Healing and Education, Inc. by contributing to the creation of a safe, loving, and peaceful environment for the healing and transformation of clients and students. The Personal Secretary will do this through maintaining confidentiality, accuracy, accountability, and compassion in all of his or her daily activities.

Responsibilities:
Client Support
- Answer phones
- Schedule appointments
- Make reminder calls
- Record client information on client intake forms
- Keep client forms updated and stocked: blank paper, body charts, etc.
- Prepare daily client schedule, pull charts, and prepare audio tape labels
- Create client computer contact file for all new clients
- Update all computers with new contact information
- Package & ship audio cassette recordings of sessions
- Package & ship supplements, books, etc. when applicable
Administrative
Keep Diamond's personal and business schedule
Track and shop for office supplies
Schedule travel including flight, car, and hotel
Keep record of frequent flyer miles
Pick up mail at downtown post office box
Open and sort mail daily
Act as liaison for computer tech support person
Update and maintain Web Site
Run weekly virus and computer protection programs
Backup computer weekly
Update and maintain client mailing lists
Daily filing
Manage and pay housekeeper
Buy and arrange flowers weekly or as needed
Help water & care for plants
Help keep reception area picked up and neat
Keep your computer and desk clean
Inventory Control
- Update and maintain physical and electronic vendor files
- Place bookstore and supplement orders
- Reconcile & record credit card charges daily
Marketing
- Update yellow page advertisements
- Work with Diamond to create workshop/educational program flyers
- Work on special projects (i.e., business cards, brochures, etc.)
Other tasks as necessary
Salary is $11 - $14.00 per hour, depending on your experience.
Bookkeeper Position
Monday's for two to four hours

Responsibilities:
- Maintain an accurate check book balance
- Enter and balance all Quick Books Data for clientele, store and supplements.
- Reports of Profit & Loss for all accounts
- Record client payments
- Make bank deposits
- Call past due accounts and make payment arrangements
- Track, record & file sales receipts
- Review & check accuracy of bills
- Pay bills
- Other tasks as needed.
